The definitive QC photo evaluation guide for spreadsheet shoppers. Covers every category of item with category-specific checklists and real examples of pass / fail QC photos.
QC photo review is the most important skill a spreadsheet shopper can develop. It is the point in the process where you have maximum control — after this, you lose the ability to catch problems until your package is at your door. This guide teaches you the exact techniques our QC team uses to evaluate 3,000+ items per month.
The QC Review Mindset
Approach QC photos as a sceptic, not an optimist. Your goal is to find a reason to reject the item, not to confirm it is fine. Professional QC inspectors assume defects exist and actively hunt for them. Buyers who assume everything looks fine inevitably miss subtle issues. The correct mindset: treat every QC set as innocent until proven guilty — and spend 2–5 minutes per item systematically eliminating reasons for rejection.
Universal 15-Point QC Checklist
- 1Correct item: Does the product match the spreadsheet link exactly in model, colourway, and edition?
- 2Correct size: Is the size label visible and matching what you ordered?
- 3Colour accuracy: Under natural light, does the colour match the listing image? Studio light can wash or saturate colours.
- 4Overall silhouette: Front and side profile should match the spreadsheet reference exactly.
- 5Logo size and placement: Use a ruler reference in the photo to estimate dimensions against reference images.
- 6Logo font quality: Letterforms should have clean edges; pixelated or smeared printing fails.
- 7Stitching density: Visible stitching should be uniform, straight, and consistent in stitch length.
- 8Loose threads: Zero tolerance. Any loose thread visible in a photo will worsen with washing.
- 9Hardware finish: Zips, buttons, snaps — all should be evenly finished with no plating wear or misalignment.
- 10Seam alignment: At collar, cuff, and hem joins, seams should meet within 2mm. Larger misalignment fails.
- 11Tag condition: Care labels, brand tags, and size labels should be cleanly attached, not wrinkled or off-centre.
- 12Glue or chemical residue: Visible residue on soles, hardware, or fabric surfaces is a QC failure.
- 13Fabric surface: No visible pills, pulls, snags, or blemishes before any washing has occurred.
- 14Packaging condition: If original box was requested, corners and print should be clean and undamaged.
- 15Photo completeness: If any required angle is missing, request a reshoot before approving.

What to Do When QC Photos Fail
Identifying a QC failure is straightforward. Acting on it correctly requires composure. Step 1: screenshot the failing photo and annotate the specific issue using any image editing app. Step 2: open a return request through your agent's platform, selecting the most accurate failure reason from their dropdown. Step 3: paste your annotated screenshot and a reference image showing the correct specification. Most agents resolve return requests within 24–48 hours. Your money is refunded to your wallet, and you can either reorder from a different seller or move on.
